OngoingWMS - Order Statuses

The standard order flow

The standard order flow in Fulfilment4Italy OngoingWMS is the following:

  1. Open - the order is received from your shop system;
  2. OpenVerified - once every x minutes we run our Address Verification Script to check if the shipment address respects the minimum requirements of our carriers. If the address is correct (or if the system was able to correct it) it will be rewarded this status. If not it will get the AddressError status and you will need to investigate what is wrong and maybe contact your client to correct it;
  3. Released - our warehouse crew starts working on this order; from here on you can not change/delete the order anymore;
  4. Allocated - OngoingWMS has allocated the goods in our warehouse to the order;
  5. Picked - the goods for this order have been picked in the warehouse;
  6. Packed - the parcel has been prepared and the shipping label has been generated;
  7. Shipped - the order is confirmed to the carrier and waiting for pick-up;
  8. Collected - the order has been collected by the carrier

Detailed explanation of all order statuses

  • Error - a general order status for anything that can go wrong?. This order status might appear if something has gone wrong in the synchronisation of an order between your webshop and OngoingWMS. It is mostly one of the following reasons that lead to this error: 
    • One or more order lines have been removed in OngoinWMS; a client has contacted you to change an article in an order. If you delete the order line and then add a new order line the link between the order lines in Shopify and OngoingWMS is lost. So when editing an order in OngoingWMS you better replace an existing order line in Ongoing instead of deleting it;
    • You have cancelled an order in Shopify that has been fulfilled in OngoingWMS and has not yet been registered as returned;
  • Address Error - our Address Verification procedure was unable to verify or correct this address, an explanation of what is wrong is given in the Comment Field. Click here for more information about the script and the most common errors;
  • On Hold- this status is selected manually by one of our operators to (temporarily) put an order on hold, we usually write in the comment field the reason for this status;
  • Open - the default status an order is assigned upon creation/import;
  • OpenVerified - once the delivery address of the order has been successfully verified (see Address Verification procedure) this order status is assigned;
  • BackOrder - specific status for the remaining order lines of an order that has been split into multiple shipments;
  • Released - the order is released for Pick & Pack, now we start our real work;
  • Allocated - OngoingWMS has allocated the goods in our warehouse(s) to the order;
  • Picked - the items on this order have been picked in the warehouse;
  • Packed - the parcel has been prepared and the shipping label has been generated;
  • Shipped - the order is confirmed to the carrier and waiting for pick-up;
  • Collected - the order has been collected by the carrier;
  • Returned - one or more items of this order have been returned; 
  • Cancelled - this order has been cancelled;
